Privacy Policy

Realm Fusion ("Realm Fusion", "we", "us") operates Simple CV (the "Service"), a resume and cover-letter builder available on the web, as an iOS app, and as a browser extension. We are based in the Netherlands. This policy explains what personal data we collect, how we use it, and the rights you have. If you have any questions, email us at info@realmfusion.com.

Who we are

Information we collect

• Account information: your email, name, and the sign-in method you use (email and password, Google, or Apple). Authentication is handled through Google Firebase.
• CV and cover-letter content: everything you add to your documents, such as your name, contact details, work history, education, skills, and any other content you enter.
• Images: profile photos and cover-letter signatures you upload, stored with Cloudflare.
• Job-tracker data: jobs you save while applying, including the role title, company, location, status, your notes, and the job description text. When you save a job with our browser extension, this is read from the job posting open in your active tab at the moment you click save. You can also link a job to one of your CVs, in which case we store that association.
• Preferences: settings such as your theme and selected templates, kept in your browser.
• Usage data: aggregate, cookieless analytics (such as page views and feature usage). We do not build advertising profiles or track you across other websites.
• Support messages: the content of any emails you send us.

How we use your information

• To provide and operate the Service, including creating, storing, previewing, and exporting your documents.
• To run the job tracker, so you can save and organise the jobs you apply to and link them to your CVs.
• To power optional AI features when you choose to use them (see below).
• To authenticate you and keep your account secure.
• To understand aggregate usage and improve the Service.
• To respond to your requests and provide support.
• To meet our legal obligations.

Under the GDPR, we rely on the following legal bases: performance of our contract with you (to provide the Service), your consent (where we ask for it), our legitimate interests (security and improvement), and compliance with legal obligations.

AI features

Some features use AI to help you, for example reviewing a CV, generating a summary, or drafting a cover letter. When you use one of these, the relevant content from your document is processed to produce the result. These features are optional and only run when you trigger them. We do not use your content to train AI models.

Browser extension

Our browser extension lets you save a job you are looking at into your Simple CV job tracker. It is designed to read as little as possible:

• It reads the contents of a web page only when you click save, and only from the tab you are actively viewing. It does not run in the background, monitor your browsing, or track you across sites.
• The job details it reads are sent to our own API to create the saved job, and are stored with the rest of your job-tracker data described above. They are not shared with anyone else or used for advertising.
• To save jobs you must be signed in. Your sign-in token is held only by the extension's background process and is used solely to authenticate requests to our API. Page scripts never have access to it.
• Your extension preferences, such as language and theme, are kept in your browser and are not sent to us.
• You can remove the extension at any time from your browser, and you can delete saved jobs from the job tracker.

How your information is shared

We do not sell your personal information. We share it only with service providers that help us run the Service, under contract and only as needed:

• Hosting and infrastructure, located in the European Union.
• Cloudflare, for image storage and content delivery.
• Google Firebase, for authentication and database storage.
• An AI provider, to power the optional AI features described above.
• Error-monitoring and cookieless analytics providers, to keep the Service reliable.
• A payment processor, if and when you purchase a subscription.

We may also disclose information where required by law or to protect our rights and users.

Where your data is stored

Your data is hosted in the European Union. Where a provider processes limited data outside the EU, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

How long we keep it

We keep your account and document data for as long as your account is active. When you delete your account, we delete your profiles, documents, and uploaded images, and remove your authentication record. We may retain limited records where the law requires it.

Your rights

Depending on where you live, you have rights over your personal data.

• EU / EEA (GDPR): access, rectification, erasure, restriction, portability, objection, and the right to withdraw consent. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
• California (CCPA/CPRA):the right to know, delete, and correct your personal information, and to opt out of its "sale" or "sharing". We do not sell or share your personal information.

You can delete your account and data at any time from your account settings. To exercise any other right, email info@realmfusion.com.

Children

The Service is not intended for anyone under 16, and we do not knowingly collect personal data from children under 16. If you believe a child has provided us with data, contact us and we will delete it.

We use a small number of essential cookies and browser storage to run the Service, along with cookieless analytics. See our Cookie Policy for details.

Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the "Last updated" date above.
